Accommodation and Transportation
Accommodation
The following hotels have been designated event hotels, and AUPE has blocked a number of rooms in these hotels. The numbers in brackets following refer to their locations on this downloadable Conference Centre area map.
- Sutton Place Hotel (2)
- Delta Edmonton Centre Suite Hotel (3)
- Coast Edmonton Plaza Hotel (4)
- The Westin (5)
- Fairmount Hotel MacDonald (9)
- Courtyard by Marriott (10)
- Crowne Plaza Chateau Lacombe Edmonton (13)
- Coast Edmonton House (15 – was Edmonton House Suite Hotel)
Your Local is responsible for ensuring that you have accommodation at one of the above facilities. Please advise your Local Chair of your room requirements. If you are booking rooms for your Local, indicate to the hotel that your rooms are part of the AUPE block. Any rooms remaining in the AUPE block will be released on June 4, 2010, therefore it is imperative that your local make reservations early.
All Locals must submit a written or typed list of their room requirements to the hotel, with a copy forwarded to Headquarters (Attention: Yvonne Alden, or email y.alden@aupe.org), no later than 10 September 2010. All Locals must deal directly with the hotels for their hospitality room requirements. Specific room and floor requests may also be arranged with the hotel.
If you are unable to attend, please contact your Local so your room can be canceled, otherwise, it will be charged back to your Local.
The majority of downtown Edmonton hotels demand payment in advance for blocks of rooms booked for Convention. This means that individual Locals must be responsible for paying for their block of hotel rooms, including taxes at least two to three weeks prior to Convention. As a result, Locals are responsible for clarifying with the hotels their preferred method of payment and what charges will be covered by the Local.
Arrangements will be made with AUPE Headquarters after Convention for Locals to be reimbursed for their Delegate accommodation based on shared accommodation (Policy 2-20).
After Convention, your Local will need to provide Headquarters with a copy of your complete bill, including a breakdown of delegate accommodation single or double occupancy. Incidentals cannot be reimbursed.
This is a new procedure and Locals are strongly advised to contact their hotels as soon as possible to ensure that rooms are secured for Convention.
Transportation
Charter buses and vans will be arranged to pick up delegates to the 2010 AUPE Convention in the various towns and cities across the province. Delegates will receive notification of which bus/van they are to take and the boarding location in the Reports & Resolutions package mailed out to all Delegates approximately three weeks prior to Convention. Delegates who do not take advantage of the bus transportation provided by AUPE Headquarters will not be paid out of town mileage. Delegates who need specific information regarding transportation arrangements should contact their AUPE Regional Office after 25 September 2010 by calling 1-800-232-7284 and following the prompts.
Parking is minimal in Edmonton’s downtown core. In-town delegates should attempt to use the bus or LRT systems to get to the Shaw Convention Centre.
There will be shuttle service from some of the event hotels to the Shaw Convention Centre at set hours. An exact schedule will be available in the Reports and Resolutions mailing in September.
